OVERVIEW

After building individual student information systems for schools like Sancta Maria and St. Francis, a pattern became obvious: every institution needed the same core system, admissions, records, results, communication, but each wanted it under their own name, their own domain, and their own data boundary.

Scholarium was built to answer that directly: one well-engineered platform, running multiple institutions side by side, each fully isolated from the others, without needing a separate codebase and deployment for every new school that signs on.

The Challenge

Building a one-off school portal is straightforward. Building one that can safely serve many schools at once, without one institution ever seeing another’s data, without a bug in one tenant’s setup affecting anyone else, and without needing custom code for every new school, is a different engineering problem entirely.

Our Approach

We designed Scholarium around tenant isolation from day one: each institution gets its own scoped data boundary, its own subdomain, and its own branding layer, all running on a single shared core so improvements and fixes roll out to every tenant at once instead of being repeated school by school. New institutions can be onboarded by configuration, not by writing new code.

A guided pipeline for prospective students to apply, upload documents, and track their application status per institution.

Centralised Records

Centralized academic records, attendance, and results, scoped entirely to each tenant institution.

Staff & Role Management

Granular role-based permissions so admins, lecturers, and support staff only see what’s relevant to them.

Per-Tenant Branding

Each institution runs under its own subdomain, logo, and colour scheme, without needing a separate deployment.

Communication Tools

Built-in announcements and notifications, so institutions can reach students and staff directly from the portal.

Centralized Maintenance

One core codebase means a fix or feature ships to every institution at once, instead of being rebuilt per client.
